CSF Deal Manager: App Privacy
For authorized Catalina Structured Funding employees. Accounts are provided by CSF.
This page explains what the CSF Deal Manager iPhone app (the "app") does with information. It supplements the Catalina Structured Funding Privacy Policy, which covers our public website and our customers. Where the two differ for the app, this page applies.
Who the app is for
The app is an internal business tool for CSF employees. It is not offered to the public and has no sign-up: CSF creates, changes and removes every account. You sign in with the CSF username and password CSF gave you, on CSF's own sign-in page.
What the app handles, and why
| Information | What happens | Who processes it |
|---|---|---|
| Your CSF account | Your username, display name and role decide which CSF tools you can open. Your signed-in session is kept by the app's built-in browser view. The app also keeps the calling identity CSF assigned you so it can register for incoming calls. | CSF |
| Customer and lead records | Names, phone numbers, case and deal details you open in Probate Leads, Prospecting and Deal Messenger are loaded from CSF's systems when you view them. They belong to CSF's business records, not to the app. | CSF; Zoho (CRM) |
| Text messages and attachments | Texts and MMS you send or receive in the app are delivered through CSF's messaging providers and kept with CSF's records. A photo or file is uploaded only when you choose it (camera, selected photos or Files). | CSF; Twilio; Salesmessage |
| Calls | Calls on CSF's lines are carried as live audio through Twilio. The app does not record calls. | Twilio; Apple (CallKit) |
| Voicemail | When a caller leaves a voicemail on a CSF line, Twilio records it and transcribes it, and the recording and transcript are available to authorized employees in the app. | Twilio |
| Call history | The Recents tab shows CSF's log of your calls on CSF lines. The app keeps a small list on your phone of recent CSF calls so a tap in iPhone Recents can call back the right person. | CSF |
| Notifications | If you allow notifications, the app registers a push token with your CSF account so CSF can alert you to new messages, missed calls and voicemail. Notification text passes through Expo and Apple to reach your phone. Depending on how CSF has set notifications, an alert shows either a generic message (such as "Probate Leads: New message" or "Missed call") or the contact's name and the start of the message; either way that text passes through Expo and Apple to reach your phone, and the full conversation appears only in the app after you sign in. Incoming CSF calls use Apple's VoIP push and show the caller's name or number on iOS's calling screen. | Expo; Apple (APNs/PushKit); Twilio |
| Call-quality diagnostics | The app automatically sends CSF technical events about CSF calls (for example: connecting, ringing, connected, ended, error codes, network type, audio route type, app and iOS version, iPhone model) with your CSF account and a random identifier created for this installation. They never include message content, phone numbers, contact names or the name of your headset, and they include nothing about personal calls you make outside the app. CSF keeps them for 90 days. | CSF |
| Crash reports | Crash reporting is on: when the app crashes, a crash report with technical details (stack trace, app and iOS version, device model) is sent with names, numbers and personal details removed on the phone first. Sentry keeps crash reports for the retention period of CSF's Sentry account, then deletes them. | Sentry |
| App updates | The app checks Expo's update service for fixes to its own code. The request identifies the app version, not you. | Expo |
Permissions the app asks for
- Microphone: to talk on CSF business calls. Without it you can still use messages and records, but not calls.
- Notifications: to alert you to new messages, missed calls and voicemail. Incoming calls still ring through iOS's calling screen.
- Camera and Photos: only when you choose to attach a photo of a document to a conversation. You can share selected photos instead of your whole library.
- Contacts: the app does not read your address book. It can open iOS's own "New Contact" screen, filled in with CSF's line, which you may save or cancel.
- Face ID or Touch ID (optional): to open CSF on your iPhone instead of typing your password. iOS checks your face or fingerprint on the iPhone itself; CSF never receives biometric data, images or templates. The app keeps a sign-in key in the iPhone's Keychain, usable only after Face ID or Touch ID and only on this iPhone; CSF stores only a scrambled fingerprint of that key, the iPhone model and when it was used.
What the app does not do
- No advertising, and no tracking across other companies' apps or websites.
- No sale of information.
- No access to your personal calls, messages, photos or contacts beyond what you choose to share.
Keeping and deleting information
- Call-quality diagnostics: 90 days. Notification delivery records: 30 days.
- Voicemail recordings and transcripts: kept with the record of the call and its lead, as part of CSF's business records (below).
- Customer records, messages and call logs are CSF business records, kept under CSF's records and legal obligations: CSF keeps them as long as necessary for the business relationship and for CSF's legal and regulatory obligations, and deletes information on request where the law allows, as the Catalina Structured Funding Privacy Policy describes.
- Signing out in the app unregisters your phone from CSF calls and ends Face ID / Touch ID sign-in on it. Face ID / Touch ID sign-in also ends after 30 days (sooner after about two weeks unused), and you can remove it from any iPhone in Account security on the platform. Uninstalling the app removes what it stores on your phone.
Your account
Because CSF provides your account, CSF closes it when your access ends. To ask CSF to close your account, remove your phone's notification registration or delete diagnostics linked to you, contact app-support@csfcap.com. Business records CSF must keep by law or for its customers are not deleted by closing an account.
